About Our Job
The **MEMBERS ONLY**SIGN UP NOW***. is recruiting for the position of Operations Coordinator for Denver 9-1-1. We are seeking a highly motivated, self-directed professional to work in a small, highly collaborative unit. The position will report directly to the Director of Denver 9-1-1 and will work closely with the Administration, Operations, Training, Department of Safety and Payroll department to ensure adequate daily business needs are met.
Denver 9-1-1, a division of the Department of Safety, is operational 24 hours a day, 7 days a week. We employ 145 civilian Police Dispatchers, Dispatch Support Specialists and Emergency Communications Operators and process more than 1 million calls for service annually; the majority of which result in the dispatch of law enforcement, fire, rescue, or emergency medical personnel.
The Operations Coordinator is responsible for ensuring work is reviewed for adherence to instructions, accuracy, completeness, and in compliance with standard operating procedures and meets or exceeds customer service expectations.
Promotes teamwork by effectively communicating and encouraging cooperation and trust among the Executive Support Staff and with the other Managers assigned to the Director of 9-1-1.
Working to achieve the goals of the Executive Office and to meet the Department's Core Values, To uphold and reflect the integrity, teamwork, community, accountability, service, and leadership while exceeding the expectations of those we serve.
Supports all areas of the Executive Office including the Director of 9-1-1, Operation Managers, Training, Quality Improvement, and other areas by performing the following duties:
Job responsibilities include: Prepares presentations, reports, diagrams and other support documents.
Completes payroll for the department. Engages with department employees to ensure accuracy and completeness.
Gathers records, reports, correspondence, statistics, and other types of information to disseminate appropriately.
Proficient in project management tasks that include event coordination, database creation and maintenance, create and update office performance metrics in reports, and other duties as assigned.
Responsible for facilitating communications between the Director of 9-1-1 and the Operations Staff as it relates to their division.
Manages incoming citizen inquires that are most often in a negative situation that is referred by the Mayor's Office, Executive Director of Safety's Office, other city agencies, or citizens calling directly to speak with the Director of 9-1-1.
Directly works with the citizen to assess the situation, provides assistance, resolve problem(s) and satisfy expectations.
Work directly with the Operations Manager that is in charge of the area of concern to find a resolution to appropriately address the citizen's complaint. Once resolved, follows up with the referring agency if necessary on the outcome of the inquiry. Keeps records of all inquiries and outcomes.
Participates in the development of long range and short term planning initiatives for the administrative aspects of the Executive Office, and serves as a liaison with other division administrative staff.
Identifies problems, determines accuracy and relevance of information, uses sound judgment to generate alternatives, and makes recommendations.
Duties include but are not limited to implementation of procedures for evaluating effectiveness of the Executive Office, ensures compliance with applicable laws, regulations, department operations manual, and assists in establishing processes and controls to ensure compliance.
Trains and orients new employees on office policies, procedures, and on various types of office equipment.
Facilitates and attend meetings with the Director of 9-1-1 as requested. Manages Executive Office Staff by scheduling coverage of activities: answering phones; office supply ordering; mail; multiple calendars; front desk coverage; and other daily tasks.
Maintains the Director of 9-1-1's calendar, arranges and coordinates appointments, creates documents and other essential communications with city agencies, other law enforcement agencies, CEO's, city, state and federal elected officials on behalf of the Director.
Oversees the uniform distribution program, to include organizing, ordering, distributing and collecting uniforms from employees.
Manages the Director of 9-1-1 and Executive Management's travel schedules. Coordinates all travel arrangements and logistics.
Works with various vendors and 9-1-1 professional associations. Prepares presentations, obtains records, statistics, and other related materials specific to the training agenda or travel speaking engagement.
Other responsibilities may include maintaining and approving work schedules, assigning projects, delegating tasks, and communicating expectations of Executive Managers.
Monitors, verifies, tracks and documents expenditures or revenues. Reviews budget documents and records. Creates and repairs various reports.
Determines the office needs for supplies and equipment. Makes recommendations to Executive Management for resource and equipment needs.
Monitors Executive Managers travel budget and expenditures; ensuring staff stay within budget.
And all other duties as assigned
About You
The ideal candidate will have:
Experience with Microsoft Outlook scheduling
Workday and/or Kronos experience
Executive Management direct assistance/support
High volume customer/public contact via phone and email

Education: Bachelor's Degree
Experience: Three (3) years of paraprofessional experience coordinating programs and/or assisting professional/management staff with administrative or operational functions.
Education & Experience Equivalency: One (1) year of the appropriate type and level of experience may be substituted for each required year of posthigh school education. Additional appropriate education may be substituted for the minimum experience requirements.
