General Statement of Duties & Organizational Responsibilities
Performs a wide variety of moderately complex administrative duties in support of a department or division at Metro's.
Typical Duties

Provides specialized office support such as interoffice mail, office supplies and equipment, purchase requisitions, meeting/catering logistics, and travel arrangements and expenses.Responsible for document production and coordination, including correspondence, memoranda, meeting notes, and other plans and reports which might be of a confidential nature.Assist with the administration of departmental or division programs. May be responsible for metrics and data collection for analysis.Performs data validation and cleanup of computer reports for analysis. Oversees department responsibilities for Records Management to ensure timely archiving of department hard copy and electronic files.Resource for others in the division or department for changes to Share Point sites or document libraries. Responsible for editing and proofreading documents and reports of a technical nature.Often acts as a primary point of contact for department on various organizational products such as SOSPES, Metro Dayforce, Operational Data System (ODS), Oracle 11i, Enterprise Asset Management (EAM), Lock Out Tag Out (LOTO).Responsible for managing and updating databases as assigned.
Specific Department Duties
Responsible for managing for various office management duties, which includes providing technical and administrative assistance, and support to staff. May direct the work of other Coordinated Operations Administrative staff.
Attends Metro, Departmental and/or Divisional Safety Committee Meetings, actively participates in meetings, prepares meeting minutes as needed.
Ensures annual updates are made to the METROGRO Farm AG Emergency Preparedness Guide and all Departmental Overtime tracking documents.
Manages Safety Data Sheet (SDS) online program, coordinates SDS audit/review, ensures any required hard copy SDS are available.
Manages Metro's Department of Transportation (DOT) program.
Manages Metro's Line Locate/UNCC program.
Manges the Phoenix fuel inventory and reporting system.
Provides budget reports and spreadsheets per established schedule
Manages various technical budgetary documents and spreadsheets. Prepares quarterly and annual budget reports for analysis and works directly with Finance staff and Coordinated Operations Managers to complete the annual budget process.
Assists the RR&R Fleet Maintenance Manager with Metro's 10-Year Fleet Replacement Plan spreadsheet.
Compiles data for transfer into various software programs. Develops moderately complex documents in Excel or Word. Responsible for proofreading and making edits (e.g., formatting, spelling, typographical error correction) to technical, budgetary, and regulatory documents.
Maintains a strong working knowledge of Metro's electronic records system. In coordination with Metro Records Management staff, oversees Departmental file stations, and electronic file management systems.
Frequently handles sensitive and confidential information in a responsible manner.
In the absence of the Department's Administrative Assistant and/or Administrative Analyst, provides coverage of miscellaneous tasks as directed.
Qualifications
Minimum Qualifications
Graduation from high school with three years of progressively responsible clerical/administrative experience. Graduation from high school. Excellent verbal and written communication skills. Strong experience in MS Office software Ability to work well independently and to establish and maintain effective working relationships.
Desired Qualifications
Organizational and planning skills to ensure timely and accurate execution of responsibilities. Flexible, adaptable, able to work under pressure and handle multiple and competing demands. Database entry and reporting experience. Program experience related to specific job role. High level of proficiency in MS Word and Adobe including the ability to create fillable forms, utilize secure digital signature, etc.). Associate's degree or some college coursework related to business.
Working Conditions
Work Environment
While performing the duties of the job, the employee is exposed to work near moving mechanical parts, work in high, precarious places, wet and humid conditions (non-weather), fumes or airborne particles, toxic or caustic chemicals, outdoor weather conditions, extreme cold and extreme heat (non-weather), risk of electrical shock, and vibration less than 1/3 of the time. The noise level in the work environment is usually moderate.
Physical Demands
While performing the duties of the job, the employee is required to talk or hear more than 2/3 of the time. The employee is required to stand, walk, sit, use hands to finger, handle, or feel 1/3 to 2/3 of the time, and to reach with hand and arms, climb or balance, stoop, kneel, crouch, or crawl, and taste or smell less than 1/3 of the time. The employee must lift and/or move up to 10 pounds 1/3 to 2/3 of the time and up to 50 pounds less than 1/3 of the time. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, proper perception of colors, and ability to adjust focus.
